Searching in Xero: One of the Most Overlooked Tools for Schools and Trusts

Most Xero users rely on the standard search bar when trying to locate transactions, invoices or supplier activity. While this works well for finding high-level information such as contact names, invoice numbers and references, many users don’t realise that it has limitations when it comes to deeper financial analysis.
If you want to search inside transaction descriptions and line items, there is a far more powerful tool already built into Xero: the Account Transactions report.
Found under Reporting → Account Transactions, this report is one of the most useful and often most overlooked tools available to schools and trusts using Xero.
Unlike the standard search bar, the Account Transactions report allows users to search for keywords and wording contained within transaction descriptions. This means finance teams can quickly analyse activity across their entire system without manually opening invoices or searching through individual transactions one by one.
For example, users can search for terms such as:
- “uniform”
- “delivery”
- “books”
- supplier names
- specific wording within invoice descriptions
This can be particularly valuable when reviewing spending patterns, investigating historic transactions, preparing for audits or identifying coding inconsistencies.
A search for “delivery”, for example, can quickly highlight delivery charges hidden within supplier invoices, helping finance teams better understand where costs are accumulating. Similarly, searching for “uniform” can instantly pull together all related expenditure across the year, making supplier reviews and budget analysis significantly easier.
For schools and trusts processing large volumes of transactions, the time savings can be substantial. Instead of relying on manual searches or exporting data into spreadsheets for analysis, the Account Transactions report provides a faster and more efficient way to gain visibility directly within Xero.
